Beatrice Privacy Policy

Latest Version Published 12 October 2026

This Privacy Policy explains how we collect, use, store and share personal information when you use Beatrice, our AI Happiness and Confidence Coach. It also explains your choices and rights, including where you provide information about your children or other family members.

1 Who we are

Beatrice is provided by Best of Parenting Limited, trading as The Happy Confident Company. Best of Parenting Limited is the data controller responsible for the personal information covered by this policy. References to HCC, we, us and our mean Best of Parenting Limited.

We are registered in England and Wales under company number 08584841. Our registered office is 727-729 High Road, London N12 0BP, United Kingdom. You can contact us about privacy at contact@happyconfident.com.

2 Who this policy covers

Beatrice is for adults aged 18 and over using the service for their own private, personal and family purposes. It is not available for use by schools, employers, organisations or professionals in the course of their work. Those services require separate terms and privacy information. A teacher or other professional may use Beatrice in a private family capacity, but not for pupils, patients, clients or professional work.

Only adults may create an account, use Beatrice chat or submit quiz responses. Children do not have accounts, logins or independent access. A parent or carer records responses on behalf of their child through their own adult account. This policy also covers information about family members who do not hold an account.

An adult visitor may have a first conversation before sign-up. This policy also covers that conversation.

Beatrice provides educational and parenting support. It does not provide diagnosis, therapy, medical care, emergency assistance or a safeguarding service. AI-generated responses can be inaccurate or incomplete and should not replace qualified professional advice.

3 Information we collect

Account information

We process your name, email address, login information and membership status to operate your account. We also record Terms acceptance, privacy-policy acknowledgement and any separate consent or communication choices.

Family information

We process the information you choose to provide about your family. This may include a child’s first name or nickname and age, family relationships, parenting circumstances, communication preferences and situations you would like help with. Please avoid unnecessary identifying information, such as a child’s full name, school or home address.

Messages feedback and safety records

We process your written messages, Beatrice’s replies and feedback. Messages may contain information about you or other people. Safety records contain the event category, date and message text. Section 13 explains what happens to this text when information is deleted.

Quiz answers profiles and memory

Where quizzes are available, we process adult-submitted answers, reports and inferred parenting styles or family preferences. We save short remembered notes from what the adult said and use conversation context for later replies. Memory does not save Beatrice’s own conclusions; quiz profiles may contain inferred characteristics.

Sensitive information

Messages, answers and safety categories may reveal health, emotional wellbeing, disability, neurodivergence or diagnoses. They may also reveal other specially protected information, such as racial or ethnic origin, religious beliefs, sexual orientation or sex life. Section 6 explains the additional conditions for using this information.

Discussions of abuse or other harm may contain allegations of offences about an identifiable person. Information about an alleged offender has separate legal protection. Information about a victim or witness is not automatically offence information simply because it relates to a crime.

Technical and engagement information

We process IP addresses and browser information carried with web requests for security. These are not stored with conversations. We also process login and security information, dates and times of use, and diagnostic or error information. For replies, we record the HCC content used, message category, whether a safety response was shown, and processing times and costs.

We record conversation, message and token counts and activity dates. Conversation counts and activity dates, including the last active date, are linked to an individual customer record in Klaviyo to help us understand engagement with Beatrice. Message content is not sent to Klaviyo.

Browser storage and external video and font processing are explained in section 14.

Payments

Beatrice does not take payments or receive payment-card details. Club Premium purchases use Shopify checkout and subscriptions are managed through Recharge. HCC does not receive or store full card numbers. The wider HCC Privacy Policy covers those arrangements.

Read the HCC Privacy Policy (https://checkout.happyconfident.com/policies/privacy-policy)

4 Where information comes from

We collect information directly from you when you register, use Beatrice, submit quiz responses, contact us or provide feedback. Information about a child or another family member comes from the adult using the service. We collect technical information automatically and receive account or membership information from the connected HCC service.

Please provide only information appropriate for your private family use and avoid unnecessary sensitive details. Do not upload pupil, client, patient or other records obtained through a school, organisational or professional role. Section 9 explains information and rights for family members without accounts.

5 Why we use information and our lawful bases

Our lawful basis depends on the purpose and whose information is involved. Contract and legitimate interests are bases under Article 6 of the UK GDPR. Health and other specially protected information require an additional condition, explained in section 6.

Providing your account and requested service

We rely on contract for your information where necessary to operate your adult account, provide chat, retrieve HCC resources, check the requested reply and handle service enquiries. This includes ordinary information necessary for quiz personalisation you request. For a first conversation before sign-up, our basis is our legitimate interest in providing requested trial access. Your contract does not cover another person’s information.

If you do not provide information necessary to operate your account or deliver a requested feature, we may be unable to provide that account or feature. Optional information is not required simply because you have accepted our Terms.

Understanding family context and personalising support

For ordinary information about family members who are not party to your contract, our basis is our legitimate interest in providing relevant parenting support. This includes using adult-submitted quiz answers and family context to tailor guidance and reports.

We rely on legitimate interests to remember ordinary information between conversations, providing continuity and reducing repetition. We consider family members’ rights, particularly children’s. You may object under section 16. Health information requires the additional condition in section 6.

Safety security and service quality

We rely on legitimate interests to screen messages for safety, prevent misuse, diagnose faults, review safety events and assess service quality. Our interests are in maintaining a safe, reliable and useful service. This includes staff review, response grading and improvement of instructions, search and resources as described in section 12. You may object to processing based on legitimate interests.

Understanding engagement

We use conversation counts and activity dates linked to customer records in Klaviyo to understand individual engagement with Beatrice. Our basis is our legitimate interest in evaluating use of the service and identifying where it could be improved. We do not send chat content, quiz answers, family reports, health details or remembered notes to Klaviyo. You may object to this engagement analysis.

Legal obligations and claims

We rely on legal obligation where processing is necessary to meet duties under applicable law, including responding to valid privacy requests, handling data protection complaints and complying with binding lawful disclosure requirements. We rely on legitimate interests where necessary to establish, exercise or defend legal claims. Section 6 explains additional conditions where the information is sensitive.

Research invitations and studies

We rely on legitimate interests to use appropriate contact information to invite adults to genuine, separate research studies. We rely on consent to collect and use personal information for participation in an agreed study. Health and other special category research information require explicit consent. Section 18 explains this distinction and the choices available.

6 Health and other sensitive information

Beatrice is not a healthcare service, but information you share may reveal health or other sensitive matters. Please provide only what is relevant and avoid unnecessary identifying details about others.

Health information used to personalise support

We rely on explicit consent under Article 9(2)(a) to use health or other special category information for personalisation. Consent must identify the person, information and uses, including provider processing and any sensitive memory. Terms acceptance, policy acknowledgement or typing sensitive information is not, by itself, explicit consent.

An adult account holder cannot automatically consent for another adult or a child who can make the relevant privacy decision themselves. Where consent is given for a child, we consider the child’s understanding, the adult’s authority and the circumstances. Recording a child’s answers does not itself establish authority to consent.

You can withdraw explicit consent at contact@happyconfident.com or through available consent controls. We stop consent-dependent processing and assess erasure. Earlier lawful processing is unaffected, but some personalised support may end. Deleting a chat or note does not prevent new collection in later messages.

Safety checks staff review and offence information

Where sensitive information is necessary to establish, exercise or defend legal claims, our additional condition is Article 9(2)(f). We use only information necessary for that purpose. Separate research uses are explained in section 18.

7 How Beatrice uses artificial intelligence

Every message is sent to Anthropic PBC for an automated safety check before a reply is written. For certain medical or safety matters, Beatrice displays a fixed response instead of generating the usual AI reply. Section 17 explains this process.

Voyage AI, Inc. converts messages into search data to retrieve HCC content. Anthropic’s Claude model generates replies using the request and context. A further Anthropic call checks the draft against HCC’s tone and rewrites it where needed. An automated step extracts remembered notes from information supplied by the parent.

HCC does not train or fine-tune models using Beatrice customer conversations, prompts, replies, profiles, children’s information or HCC content. Anthropic’s commercial API is provided on a no-model-training basis. HCC has opted out of Voyage storing and using customer inputs for model training. Provider retention is separate and explained in section 13.

Staff review and the use of team-written test examples to improve instructions are also separate from model training. These are described in section 12.

8 Personalisation and profiling

Beatrice uses family context, available quiz answers, notes and previous interactions to tailor replies and resources. Automated evaluation of preferences or characteristics is profiling. This includes an internal parenting-style profile and family reports.

The internal parenting-style profile is not displayed in the ordinary interface. You can still request access, correct supplied facts, challenge inaccurate inferences or object to profiling based on legitimate interests.

Memory is enabled for signed-in users. You can delete individual or all notes, but there is currently no switch to stop future memory creation. Contact contact@happyconfident.com to object to continued memory or withdraw consent for sensitive memory. Sections 5 and 6 explain the bases.

Beatrice does not make solely automated decisions with legal or similarly significant effects. It does not determine eligibility for education, healthcare, employment, insurance or credit.

9 Information about children and other family members

All chat use and submission of quiz responses takes place through an adult. Parents and carers record responses on behalf of children. Children have no independent accounts or access. Their information is not used for behavioural advertising or supplied to schools, employers or referral partners.

The account holder sees their own conversations, notes and reports. A co-parent sees only their own part. Children’s answers are not displayed back to parents as a list, but derived information may contribute to guidance and reports.

Children and other family members have their own rights even when an adult supplied the information. We assess requests involving a child in light of the child’s understanding, interests and circumstances, the requester’s authority and other people’s privacy. Family members without accounts can contact us at contact@happyconfident.com.

Where we receive personal information about someone from another person, we are responsible for providing the relevant privacy information unless a lawful exception applies. We consider an appropriate and safe way to provide it, normally within one month or earlier where required. Please also help other family members understand this policy where appropriate.

10 Who receives information

We use the following providers to operate Beatrice:

  1. Anthropic PBC: AI replies, safety checks, reply checking and extraction of remembered notes.
  2. Voyage AI, Inc.: processing messages into search data to retrieve relevant HCC resources.
  3. Supabase: database services, using Amazon Web Services infrastructure.
  4. Cloudflare: hosting and delivery of the service.
  5. Klaviyo: customer records and individual engagement analysis using conversation counts and activity dates. Chat content is not supplied.
  6. Vimeo and YouTube: videos loaded when you choose to play them.
  7. Adobe: delivery of an externally hosted typeface, including receipt of technical information such as your IP address.

Authorised staff may access conversations, quiz results and feedback as explained in section 12. Providers may act on our instructions or have separate responsibilities for some uses.

We do not sell personal information. Beatrice has no school, employer, partner or referral integration and does not provide those organisations with individual or aggregated usage reports. We may disclose information where required by law or where lawfully necessary to establish, exercise or defend legal rights.

11 Where information is processed

The Beatrice database is hosted in Frankfurt, Germany, using Supabase on Amazon Web Services. Anthropic and Voyage AI process information in the United States. Cloudflare operates a global network. External video and font services also involve processing in the United States. Information is therefore not processed exclusively in the United Kingdom.

You can contact contact@happyconfident.com for details of the arrangements applying to your information and copies of relevant transfer safeguards, subject to necessary redactions.

12 Staff review and service improvement

Authorised members of the HCC team can read full conversations, quiz results and feedback to review and grade answers, investigate faults and review safety events after they occur. Access is currently limited in practice to the two designated service operators. Testers can see their own test chats. Conversations are not monitored by a person in real time.

The examples in Beatrice’s instructions are rewritten answers to HCC team test questions. They are not taken from customer conversations and contain no real family details. They shape replies but are not displayed directly. Staff findings also improve instructions, search and resources. This is separate from model training.

Sensitive staff review is subject to section 6. There is no self-service opt-out from staff review; you can object at contact@happyconfident.com. We consider objections under applicable law. This notice does not authorise publication of private chats or separate research use without the relevant information and consent.

13 Retention and deletion

Information in the live service

Conversations, remembered notes, quiz answers, reports and feedback currently remain in Beatrice until you delete them or we act on an applicable erasure request. There is currently no automatic expiry based on inactivity. Sign-in sessions last up to 90 days.

What the deletion controls remove

Deleting an individual conversation removes that conversation and its feedback. It does not automatically remove separately saved remembered notes. You can delete individual notes or all notes separately.

“Delete everything Beatrice knows about me” removes chats, feedback, notes, quiz answers and reports from the live service and clears local storage on that device. Despite its name, it does not immediately erase all residual records, backups or provider copies.

After deletion, a record that a conversation existed remains with message and token counts but no conversation text. Safety events remain with category and date, while their message text is erased. These residual records are not necessarily anonymous. Team-written example answers also remain, but they do not come from customer conversations or link to customer records.

Backups and supplier copies

Deleted information can remain in backups until expiry.

Anthropic normally deletes commercial API inputs and outputs within 30 days, subject to exceptions. Inputs and outputs flagged by its systems as violating its Usage Policy may be retained for up to two years, and related trust and safety classification scores for up to seven years. Legal requirements may also affect retention. These provider classifications are separate from HCC’s own safety categories.

HCC’s Voyage account has opted out of storing inputs and using them for training; the provider describes zero-day retention for this configuration.

Klaviyo usage events remain until the profile is deleted. Beatrice deletion does not itself establish that the CRM profile is erased.

Wider erasure requests and other services

Email contact@happyconfident.com for a wider erasure request, including residual records or another family member’s information. We explain any information that must be retained, the reason and the applicable retention period. Legal exceptions may apply, for example where specific information is necessary for a legal obligation or legal claim.

Deleting Beatrice information does not close your Happy Confident Club account or cancel Premium membership. Cancelling or downgrading membership does not itself delete Beatrice information. Tell us if an erasure request covers more than one service so we can address each part. Shopify and Recharge payment records are covered by the wider HCC privacy arrangements.

14 Browser storage and external content

Beatrice itself does not set cookies. It uses your browser’s local storage for the following information:

  1. Your sign-in session, email address and current conversation, to support account access and continuity.
  2. Labels for up to 50 recent conversations, taken from the first words you entered, to help you find previous chats.
  3. Your selected tab and role, and flags showing prompts you have dismissed, to remember interface choices.

Signing out or using the full live-service deletion control clears local storage on that device. Browser settings can also clear it. This does not by itself erase server or supplier records or close your account. Stored chat labels can reveal private information on a shared device.

Videos load when you press play; without playback, the page does not contact Vimeo or YouTube. We use YouTube’s privacy-enhanced player and Vimeo’s do-not-track setting. These settings do not establish that all processing or storage is exempt from consent.

Our main font is hosted by HCC. One typeface loads from Adobe on each page load and can send technical information, such as your IP address, to Adobe.

15 Keeping information secure

Beatrice uses HTTPS to encrypt information in transit and encryption at rest for its database. Service keys are held in an encrypted secrets store rather than in application code. The staff review console uses multi-factor authentication. No online service can guarantee absolute security. Please protect your account and device and contact us if you believe someone has accessed your information without permission.

16 Your data protection rights

Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction and a portable copy of eligible information. You may object to processing based on legitimate interests, including family profiling, persistent memory, staff review, engagement analysis and research invitations. You can object to direct marketing at any time.

Where we rely on consent or explicit consent, you may withdraw it without affecting earlier lawful processing. Contact contact@happyconfident.com or use any consent controls provided with the feature. Our obligations to stop consent-dependent processing are separate from the effect of deleting a particular chat or note.

Rights cover identifiable chats, notes, quiz answers, reports, internal profiles, engagement and safety records. A profile can be subject to access rights even if hidden from the interface. Legal conditions or exemptions and other people’s privacy may affect responses.

Email contact@happyconfident.com to exercise a right, including on behalf of someone else where authorised. We may ask for information reasonably necessary to verify identity or authority. Requests are normally free. We normally respond within one month, subject to lawful extensions or other applicable timing rules. If we cannot fulfil a request, we explain why and how you can challenge the response.

17 Safety screening and emergencies

Anthropic checks each message before the usual reply is written. If the check identifies a medical matter, possible diagnosis, self-harm, harm to a child or abuse of the adult, Beatrice displays a fixed response with relevant UK support information instead of generating the usual AI reply.

HCC records the event category, date and message text for later safety review. Section 13 explains retention and deletion, and section 6 covers the additional legal conditions for sensitive or offence-related information. The service is not monitored by a person in real time and does not automatically pass events to emergency services or safeguarding organisations. Technical providers still process information to operate the service.

Do not rely on Beatrice to identify every risk, arrange help or contact someone on your behalf. If someone is in immediate danger, contact emergency services directly.

18 Communications engagement and separate research

Engagement and messages

We use Klaviyo to understand individual engagement using conversation counts and activity dates linked to customer records. Klaviyo is also HCC’s system for managing outbound messages. The use of engagement information for analysis is explained in section 5; it does not itself provide permission to send promotional messages.

Wider HCC and Club marketing is covered by HCC privacy information and your communication choices. You can unsubscribe from marketing; necessary service messages may continue.

Research invitations

We may use your contact information to invite you to a genuine, separate research study. Our basis is our legitimate interest in finding adults willing to help us understand and improve family support. You may decline, ask not to receive further research invitations or object at contact@happyconfident.com. Invitations are separate from promotional messages.

We do not use your health or other special category information to select you for research unless there is a valid additional condition for that selection. An invitation does not authorise us to reuse your private conversations for the study.

Taking part in a study

Participation is voluntary and separate from ordinary use. Before you agree, study information explains the purpose, data, recipients, retention, publication and withdrawal. We rely on Article 6(1)(a) consent for study data use, plus Article 9(2)(a) explicit consent for health or other special category information. Agreement covers data use as well as participation.

Refusal or withdrawal does not affect ordinary service access. Follow the study’s withdrawal route; we stop consent-dependent processing and assess erasure. Genuinely anonymous results cannot be traced back for removal. Any separate lawful retention is explained before participation.

19 Complaints

If you have a concern about how we use personal information, email contact@happyconfident.com. We will acknowledge a data protection complaint within 30 days, investigate it and communicate the outcome without undue delay.

You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator. You do not need our permission to contact the ICO, and nothing in this policy restricts that right.

Contact the ICO about a complaint (https://ico.org.uk/make-a-complaint/)

20 External links and changes to this policy

Beatrice may link to external resources. Those organisations are responsible for their own privacy practices. Review their information before giving them personal information.

We update this policy when relevant processing changes and show the updated date. Where required, we provide additional notice of significant changes and obtain fresh consent before a new consent-based use begins. An update does not itself provide consent to new processing.

This policy describes the private consumer service under applicable UK data protection and privacy law. It does not limit statutory rights. Accepting the Terms or acknowledging this policy does not amount to consent to every use described here.
